Find and maintain records

Find property, tenant, agency, and technician records, then update the fields admins maintain day to day.

This guide shows you how to find and maintain property, tenant, agency, and technician records in ATOM.

Use it when you need to confirm the current record, fix the stored address, replace tenant contact details, update agency contacts, or maintain technician details. It covers existing admin actions only. It does not cover bulk import, new geocoding rules, or permission changes.

#Find the record

Open Search from the sidebar, the page header, or Ctrl+K / ⌘K. For a full reference of search and command-palette behavior, see Navigate ATOM, search, and get help.

Search by the detail you have:

  • Enter GEO-018 or 18 George Street to find the property 18 George Street, Unit 4B.
  • Enter Sarah Mitchell to find the tenant tied to 18 George Street, Unit 4B.
  • Enter Harbour & Ridge Property Group to find the agency record.
  • Enter Emma Wilson to confirm the technician exists before opening Team.

Use the @ prefix when you want only property results, such as @GEO-018. Use & to verify a technician exists, but navigate to Team to open their profile until search results link directly to profiles.

#Open the current detail page

Prefer current detail routes and list navigation over old bookmarks.

  • Open a property from Search, Directory > Properties, or a property row on an agency page. The current route is /properties/:id.
  • Open an agency from Search or Directory > Agencies. The current route is /agencies/:id.
  • Open a tenant by searching the tenant name, then selecting the owning property. Tenant records are maintained from the property Current Tenant section.
  • Open a technician from Team, then select the technician row. The current route is /technicians/:id.

If you land on Settings while trying to maintain a technician, go back to Team and open the technician profile from the list.

#Update property address and location

Property address and stored location are maintained together from the property detail page.

Open 18 George Street, Unit 4B, then use Property Details:

  • Click the value under Address.
  • Update Address Line 1, Address Line 2, Suburb, State, Postcode, or Country.
  • Select Save.
  • Wait for Property address updated before leaving the page.

ATOM stores the address as the canonical property address. When address lookup succeeds, the saved location updates the Map on the same page. If the map does not change, keep the address correction and raise a separate geocoding issue instead of trying to fix coordinates manually.

#Replace tenant contact details

Tenant contact details live on the property that the tenant occupies.

On 18 George Street, Unit 4B, use Current Tenant:

  • Select Replace tenant when Sarah Mitchell is no longer the current contact.
  • Enter the new Name.
  • Enter at least one contact field: Email or Phone.
  • Select Confirm replacement.
  • Check Tenant History after the save.

Replace tenant moves the previous current tenant into Tenant History and creates a new current tenant. Use it instead of overwriting old contact details in notes. This preserves who used to occupy the property and when the contact changed.

If the property has no current tenant, use Add tenant from the empty Current Tenant section.

#Maintain agency records

Agency contact fields are edited from the agency directory, and agency relationships are reviewed from the agency detail page.

For Harbour & Ridge Property Group:

  • Open Directory > Agencies.
  • Use Search agencies... if the list is long.
  • Select Edit on the agency row to update Agency name, Billing email, Phone, or Notes.
  • Select Save changes.
  • Open /agencies/:id to review Contact Information, Agents, and Properties.

Use Add agent on the agency detail page when a new property manager should appear on the agency record. Use the remove action in Agents only when that agent should no longer be attached to the agency.

#Maintain technician records

Technician records are maintained from Team, not Settings.

For Emma Wilson:

  • Open Team.
  • Select Emma Wilson from the technician list.
  • Use Actions > Edit details.
  • Update inline fields such as Technician Name, Work Email, Primary Phone, and Employment Status.
  • Select Done editing when the profile is correct.

Use Archive technician from Actions when a technician should disappear from active lists but past bookings must remain. Use Reactivate technician if the archived technician returns.

Use Skills / Job Categories and Availability (Next 6 Months) on the profile only for current scheduling setup. Do not use this guide to redesign categories or availability policy.

#Avoid legacy redirects

Use the visible navigation and current detail routes when sharing links or returning to records.

  • Use /properties/:id, not /properties/:id/edit; property editing is inline on the detail page.
  • Use /agencies/:id for agency detail review, and use Directory > Agencies > Edit for agency contact edits.
  • Use /technicians/:id or /technicians/:id/edit from the Actions menu, not Settings, for technician maintenance.
  • Do not guess a /tenants/:id route. Open the owning property and maintain the tenant from Current Tenant.

After navigation, check the page heading and left list panel. They should match the record type: Properties, Agencies, or Technicians.

#Check the change

Before moving to the next job, confirm the saved record in the same place another admin will look.

  • Property: the Address value and Map reflect the saved address where lookup data is available.
  • Tenant: Current Tenant shows the new contact, and the old contact appears in Tenant History.
  • Agency: Contact Information, Agents, and the property list match the directory edit.
  • Technician: the profile shows the updated contact fields, status, skills, and availability.

If a save fails while offline, reconnect and repeat the same action from the current detail page.
